Privacy policy

This policy covers the SeasonSorted app, this website and email contact with us. In short: your plan lives on your phone, an account is optional, there is no advertising, analytics or tracking, and you can delete your account and backup from inside the app at any time.

Who we are

SeasonSorted is a product of Denella Ltd, a company registered in England and Wales (company number 15420576). Denella Ltd is the data controller for the information described below. You can contact us about anything in this policy at [email protected].

The SeasonSorted app

Without an account. You can use SeasonSorted without signing in. Everything you enter (your children's first names, gyms, teams, fees, payments, competitions, travel bookings, savings and receipt photos) is stored only on your phone. We cannot see it.

With an account. If you choose to sign in, we use your email address to send you a sign-in link, and your plan is backed up so you can restore it or use it on another phone. The backup contains the information listed above, including receipt photos. It is stored by Supabase, our database and file storage provider. Our lawful basis is contract: providing the backup you asked for.

Sharing a plan. If you invite another parent or carer, they can see (and, if you allow it, edit) that plan. You can remove them at any time.

Importing a season packet. When you photograph a packet, the text is read on your phone. That text, or a PDF you choose, is then sent to our extraction service so it can be turned into fee and event rows for you to check, along with your teams' names and levels. The service uses Anthropic's API (Claude) to do this, under Anthropic's commercial terms. We do not keep the packet text after the rows are returned, and you confirm every row before anything is saved.

Reminders. Payment and booking reminders are scheduled on your phone. We do not send them from a server.

What we do not do. The app has no advertising, no analytics, no tracking and no crash reporting. It does not connect to your bank or take payments. We do not sell or share your information for advertising.

Children. SeasonSorted is for parents and carers. It is not directed at children, and children should not create accounts. The information about your children in a plan is what you choose to enter; a first name is enough.

Deleting your data. In the app, go to Family, then Backup & sharing, then Delete account. This permanently deletes your sign-in, your backed-up plans and their receipt photos, and ends any sharing. Your plan stays on your phone until you delete the app. Copies in our provider's routine backups are overwritten within a short period. You can also ask us to delete your account by emailing [email protected].

How long we keep it. A backup is kept while your account exists, and is deleted when you delete your account.

Visiting this website

This website has no forms, no sign-up, no advertising, no analytics and no tracking cookies. It does not load fonts, scripts or images from other companies.

The site is hosted by Cloudflare. Like any web host, Cloudflare processes technical information such as your IP address and browser type to deliver the page and protect it from abuse. We do not use this information to identify you.

If you email us

When you email [email protected] we receive your name, email address and whatever you choose to include in your message. Email to this address is forwarded by Cloudflare to our business mailbox. We use it only to reply to you and to keep a record of our correspondence.

Our lawful basis is legitimate interests: responding to people who contact us. We keep correspondence for as long as needed to deal with it and for up to two years afterward, unless a longer period is needed for legal or accounting reasons.

If you run a cheer gym or club

We may contact gyms and clubs about SeasonSorted using business contact details they publish themselves, for example on their own website. We only use those details to tell you about SeasonSorted and to follow up once if you have not replied. We send these emails through Resend, an email delivery service.

Our lawful basis is legitimate interests: introducing a relevant product to organizations whose families it is built for. Every email tells you how to opt out. If you reply asking us to stop, or email [email protected], we will not contact you again. We keep a minimal record of your address only so that we can make sure of that.

Who we share information with

We do not sell personal information or share it for advertising. We use a small number of service providers to run the app, website and email: Supabase (app accounts, backup and receipt storage), Anthropic (reading imported season packets), Cloudflare (website hosting and email forwarding), Resend (email delivery) and our business email provider. They process information on our behalf and under contract. Some of these providers may process data outside the UK; where they do, they use safeguards recognized under UK data protection law, such as the International Data Transfer Agreement or standard contractual clauses.

Your rights

Wherever you live, you can ask us to:

• tell you what personal information we hold about you and give you a copy
• correct information that is wrong
• delete your information
• stop or restrict how we use it, including objecting to direct marketing at any time

To make a request, email [email protected]. We will respond within one month. If you are unhappy with how we have handled your information, you can complain to the UK Information Commissioner's Office, which oversees our use of personal data, at ico.org.uk. We would appreciate the chance to put things right first.

We will update this page if anything changes, and change the date at the top.
